                              Below are frequently asked questions and answers for your ELD system. Select the arrows to reveal the answers to your questions.

                              Due to evolving DOT/FMCSA regulation enforcement, drivers should keep the Apollo ELD app updated on a regular basis to the latest software version to stay compliant. Outdated app versions can potentially result in citations or being placed out of service.

                               

                               

                              Apollo ELD Driver Information

                              ELD Vehicle Engine Synchronization (ECM connection)

                              To connect to the GPS (ECM) device, first make sure the engine is on and running and that the device is activated and installed for the vehicle you wish to connect to:

                              1. Select ‘Scan Devices.'
                              2. Wait for the device to show up.
                                • Ensure the correct ECM ID shows up.

                              For the (GPS) ECM device to work properly and the ELD to be able to connect to the device and read engine data, the engine must be turned on and running. Keep this in mind when operating the ELD. The GPS device should also be activated and installed for the vehicle you wish to connect to.

                              Duty status changes, as an example, require engine parameters when generated. Make sure the engine is still running when making duty status changes. 

                              Some ELD configurations lock an ELD to a specific GPS (ECM) device, in which case the ‘Scan Devices’ screen is not shown and the ELD will automatically run the diagnostic.

                              Apollo ELD Driver Authentication

                              The ELD has three different accounts:

                              • Driver: Unique, per-driver account used by drivers Hours of Service and ELD regulations. This account records duty status changes (RODS) and allows the export of driver’s records for printout, display and agent output file generation.

                              Login using your driver’s credentials already created by your admin. If you do not know this information, please consult with your owner, admin, or fleet manager whom regulates this information in the admin portal for your carrier. Login username IDs, and the driver’s license or CDL numbers associated with the username login credentials, cannot be duplicated and are unique in the Apollo ELD system.

                              • Each driver using the system will have a unique login username and password for their credentials.
                              • This login name and password is for the specific driver’s use only in the Apollo ELD driver software application and must not be shared with any other person after initial admin creation (driver or not). The login name belongs to the driver and is linked to the driver’s personal information (e.g.driver’s license, logs, etc). If the driver changes carrier and is now driving for a different carrier, the login name, under certain circumstances, will remain the same and it is the driver’s obligation to ask the home base carrier to update the carrier name and DOT number on the system.

                              The driver is restricted to be logged on to only one device at any time for compliance. In order for the driver to log on on a different mobile device, the driver must change to off duty status and logout from the previous device.

                              Driver’s unlock: In an event the driver is still logged on a ELD, but the device ceased to function or gets lost, the driver must call the home base carrier and ask for his login name to be unlocked. The unlock process will change the driver’s status to off duty at the time the driver solicited the login unlock. As, this is not advised and only to be used in case of emergency, please feel free to contact Apollo ELD 24/7 support.

                               
                               

                              Initial Apollo ELD Configuration

                              The initial configuration is only required after installing the ELD driver app for the first time and is no longer needed after. The objective is to initially configure a vehicle asset profile (tractor number, VIN number) and connect/test the ECM device connection. Ideally, the admin has already added all assets, vehicles and trailers into the Apollo ELD admin portal in order for drivers to see a list of these. 

                              • Configuring the ELD with the right asset
                                • The ELD has to be linked to a carrier asset (vehicle). Please tap on the truck or trailer image to pick from the asset list downloaded during login (see list below) or to manually enter (if allowed) a new truck or trailer. Once you select a tractor or trailer from the downloaded list the ELD will always use the VIN number, license plate and registration state displayed on the list:

                              • Establishing GPS (ECM) Connection
                                • Before a driver can operate an ELD, the ELD must be synchronized to the vehicle’s engine using what is known as an Engine Synchronization Module (ECM) which is very common on GPS trackers.
                                • Before scanning and connecting to an (GPS) ECM device, make sure your ELD has Bluetooth functionality enabled, make sure the GPS devices is activated, installed and that the engine is on and running for the vehicle you wish to connect to:

                              • We highly recommend installing a label or decal on the vehicle’s dashboard with the ID of the GPS (ECM) device installed on the vehicle. Also, write down this ECM ID. (Each device will start with either WQ-87X****** or WQ-88X*******)

                              • To connect to the ECM device, have the engine on and running for the vehicle you wish to connect to, have the GPS device activated in the Linxup admin portal and that the device is installed in the vehicle you wish to connect to. Then, tap on Scan Devices, wait for the device to show up (make sure the correct ECM ID shows up)
                              • For the GPS (ECM) device to work properly and the ELD driver application to be able to connect to the device and read engine data, the engine must be turned on and running. Keep this in mind when operating the ELD. The GPS device should be installed into the correct vehicle and also activated in the Linxup GPS admin portal.
                              • Duty status changes, as an example, require engine parameters when generated. Make sure the engine is still running when making duty status changes. Some ELD configurations locks an ELD to a specific GPS (ECM) device, in which case the Scan Devices screen is not shown and the ELD will automatically run the diagnostic.

                              • A diagnostic is performed to make sure the ELD is fully compliant and ready for driver operation.

                              • When you open the ELD app for the first time, you need to approve the following permissions:

                              • You also need to synchronize the ELD with the portal at least once. Tap on ‘CONFIGURE:’ Wait until the ELD is synchronized with the server and the following message is received:

                              Export ELD Data Output File during roadside inspection.

                              The following export methods are supported: 

                              USA 

                              Option1 - Telematics using Wireless Web services.

                              Option2 - Local using both: USB2 and Bluetooth. 

                              To submit the Output File to an authorized FMCSA safety official, the driver selects the ‘Export ELD Data File’ from the Logbook screen. The driver, then, will select one of the following methods: 

                              • Agent External Storage: The ELD will first verify the external storage device is compatible with FMCSA specifications by validating the contents of file “ELDUSBTX.TXT”. After positive validation, the ELD will save the data file on the FMCSA-provided external storage device. 
                              • Bluetooth Transfer: After selecting this option, the authorized safety official will pair and verify PIN with the driver. Once the Bluetooth devices are paired, the safety official’s technology equipment will transfer the output file to the FMCSA website using Web services. 
                              • FMCSA web service: This option securely communicates to FMCSA’s end-point and obtains submission ID. (This is the preferred method)

                               

                              NOTE: An email share option is also available for drivers to share Print/Display logs and ELD Data File by sending an email to any destination. However, this is not the preferred method. 

                               

                              Canada 

                              The ELD must be connected to the ECM and reading engine data in order to export the output file. If engine data is not available, you will see a notification indicating ECM connection is missing: 

                              There are two different ways to export the output file, you can share (tap on ‘SHARE’) the output file with a third party or you and email the output file to a government agency. In both cases, enter the file comment provided by the roadside inspector and tap on ‘AGENT.’

                              Selecting a Vehicle Profile and Assets

                              Ideally, admins have already added all vehicles, assets and trailers into the Apollo ELD admin portal for their drivers. Drivers should then make sure to have the engine running for the vehicle they wish to connect to, tap on the truck image (mandatory) or trailer image (if needed) to pick from the asset list during the login (see list below) or to manually enter (only if allowed by admin) a new truck or trailer. Once you select a tractor or trailer from the synced list the ELD will always use the VIN number, license plate and registration state displayed on the list.

                              Configuring the Apollo ELD Before Operation

                              Read this chapter before operating the ELD! 

                              Confirm you have received all required components, make sure your account was created and you have access to the Apollo ELD admin online portal.  

                              To save time in the future, we recommend you print a copy of help documents and keep it inside the cab. This contains critical information to properly operate your ELD and a list of malfunctions and how to resolve them. It is also recommended to write down your ECM device’s identifier (shown below) on a separate location in case you lose this document.

                              In some instances, this manual uses Icon Keys to direct your attention to specific and important information. See the different icons on the left. 

                              What you need before operating the ELD?

                               

                              Parts needed for ELD - mobile device, ECM + adapter, harness, and access to the ELD online portal

                               

                              Your mobile device (where the Apollo ELD app is running) must have the following:

                              • Bluetooth enabled, be installed in the correct vehicle and be activated in the Linxup GPS admin portal. 
                              • Be connected to the internet either with a cellular data plan or connected to a hot spot.

                               Installing the GPS (ECM) device: 

                              Please plug the GPS (ECM) device to the vehicle’s diagnostic port. In some cases, you might need to use the ECM adapter to plug the device on J1939 port. 

                              Locate the diagnostic port (see image below for possible locations depending on vehicle’s make, model and year). 

                               

                              NOTE: For the ELD to remain compliant, it must remain connected to the GPS (ECM) device and read the engine data. Engine data is only available when the vehicle’s engine is turned on and is running. Make sure the GPS device you wish to connect to is activated in the Linxup GPS admin portal and installed in the correct vehicle you wish to connect to.

                              Apollo ELD driver App Diagnostics

                              Once connected to the GPS (ECM) device you can run an ELD diagnostics (accessible from the top-right menu). The diagnostic checks critical components on your Apollo ELD and all areas must pass the test in order for you to remain complaint.

                              Bluetooth and GPS (ECM) connection status: The ELD must be able to read engine data at all times. Make sure the Bluetooth and GPS (ECM) connection indicators remain green. If the indicator turns red, please go to ‘Scan Devices’ and connect to the correct GPS (ECM-linked device).

                              Apollo ELD Driver Profile (Preferences)

                              Make sure the information is correct: carrier name, driver rule set (60-hour or 70-hour) and the home base time zone. Drivers are able to update their own rulesets and exemptions directly from their own Apollo ELD driver application. 

                              Select the ruleset drop-down to change rule set from 60h to 70h and vice versa. Select the units of measurement (miles, gallons, kilometers or liters).

                              Starting 24h time is set by your carrier but could be changed at any time. Just keep in mind that the new 24h starting time will take effect on your next cycle (after the 36h restart).

                              Driver Personal Use (PU) and Yard Moves (YM)

                              As a driver, current regulations allow up to 46 miles (75 Km) of driving for personal use. This provision allows you to, for instance, drive to the nearest rest area, drive home among other reasons. The ELD will prompt you to add a pre-defined remark or type a different reason.

                              • The ELD must be connected to the GPS (ECM) device in order for the Personal Use provision (button) to be available.

                              Once you have reached the 46 miles (75 Km) limit you will receive a notification and you will be automatically switched to Driving duty status. 

                              If the ELD shuts down (e.g. power loss) or restarted, you will be prompted to either exit or continue the Personal Use status:

                              The ELD also allows you to drive the vehicle inside a yard. Please, switch to Yard Move (YM button) before putting the vehicle in motion. If the vehicle’s speed exceeds 19 mph (32 Km/h) you will be switched (automatically) to Driving duty status. 

                              Same as Personal Use, if the ELD is restarted, you will be prompted to either remain in the Yard Move status or exit such a status.

                              Changing Duty Status

                              • To change the duty status, tap on the desired duty status button. Changing to (and out of) ON-DUTY, YARD and PERSONAL will prompt you to select a pre-defined remark or enter your own remark. When coming out of ON-DUTY status, you can input the number of gallons fueled into the vehicle which is required for certain state and federal reports.

                              Time Remaining

                              • The three donuts constantly show the actual time spent on each status (driving, ON-Duty, and cycle ON-Duty). The corresponding donut will turn yellow or red to indicate proximity to the time limit.

                              Recap

                              • Tap on the ‘ON-Cycle (see recap)’ donut to see how much ON-Duty time will be removed once the 7th or14th day is reached. The recap summary message also tells you the day and time when the next available recap will take place.
                              • This information has immense value for the driver, so you can plan your weekly cycle and be aware of the time you will get back each day, after the 7th or 14th day (according to the currently selected ruleset).

                              Deferral

                              • You, as a driver, may split the off-duty time over any two consecutive days by deferring a maximum of two hours of the required daily off-duty time from the first day to the second day and increasing the total driving and on-duty times in the first day by not more than two hours. To make use of deferral of daily OFF-Duty time, tap on the ‘Deferral’ checkbox on the ELD’s main screen. If you have taken the required 10-hour OFF-Duty time for the current 24-hour period, then no deferral time is needed, and a notification will show you are in such situation:

                              If you would like to defer time to the next day, use the slider to select how much time you would like to defer:

                              For the current and the next day, your main ELD screen will show information regarding your deferred time and when OFF-Duty time is fully taken in order to remain compliant with FMCSA Hours-of-Service (HOS) regulations:

                              Possible Violations

                              • This area shows the closest possible violation. It also triggers a notification pop-up one hour before the violation and another one thirty minutes before the next possible violation.

                              • When changing to (and out of) ON-DUTY, YARD, and PERSONAL duty status, the ELD will show you the pre-defined remarks to simplify the use of the ELD. You can also type your own remark:

                              • Drivers, please, enter the number of gallons put in the vehicle (when refueling). This will assist your admin with consistent reporting demands. *Note this information does not sync into the Linxup GPS admin portal, it is located and stays in the Apollo ELD admin portal.

                              Co-Driver Operation (Authentication & Remarks)

                              • A co-driver can authenticate by tapping on the currently active driver button (which brings the login screen) or the co-driver can go to the menu and select the Co-Driver Login option.

                              Roadside Inspection Mode

                              • If you are stopped on the road, we recommend you enter the Roadside Inspection Mode by tapping on the officer icon button. This mode allows the current cycles logs to be viewed as well as export the ELD data file to an FMCSA officer if requested to do so:

                              ELD Drivers Certifying Records (Logs) and Log Edits

                              Every duty status change and driver logs must be certified by the corresponding driver who owns the logs before being able to edit any driver logs. Select the ‘Certify Logs’ option from the menu to list all unverified logs. Select each day and tap on the ‘Certify’ button. At the end of each 24-hour period, the ELD will automatically prompt the driver to certify logs for the last 24 hours period. During the driver login and logout, the driver will be prompted to certify the logs. Drivers should certify logs every day they're working in order to avoid potential citations when on the road.

                              You can also certify your logs at any time by going to the main menu and selecting ‘Certify Logs.’ Select the day or days you would like to certify:

                              Select the 24-hour period you want to certify then tap on the ‘CERTIFY’ button. You need to agree to the statement. 

                              To view your Logbook, edit your logs or export Logs/ELD data file, go to the ‘Logbook’ option in the menu.

                              You can move to a different day by selecting the left and right arrows: 

                              The ‘Logbook’ tab shows the logbook for the selected day and the Logs tab has a list with all the logs for that day, where you can edit an existing log. You can use the mobile device’s swipe option to move between the ‘Logbook’ and the ‘Logs’ tabs. Logs must be certified by drivers before any log edits can take place:

                              Adding, deleting and editing an existing record (log): On the ‘LOGS’ tab select the edit icon. Make the necessary changes, input the mandatory remark explaining the reason of the change and then ‘Confirm Changes.’ Remember, driving time can only be increased, on automatically recorded records; and deleted, reduced or increased on manually recorded records! Logs must be certified before any changes can take place. 

                              Your ELD must be synchronized to your tractor’s ECU (via ECM device). Failure to read engine values will make you non-compliant.

                              Daily ON-DUTY, cycle ON-DUTY and possible violations will be calculated according to the new record change.

                              Driver Assumption of Unidentified ELD driver Logs

                              During the driver login process, drivers will be prompted to review the existing unidentified logs.

                              If the unidentified logs do not belong to you as a driver, just tap on ‘SKIP.’ If some, or all, unidentified logs belong to you select ‘REVIEW LOGS,’ select the checkbox associated to the logs that belong to you and assume those driver logs appropriately. The carrier can later revert those logs back to unidentified (if needed) for which you will also be asked to confirm.

                              Motor Carrier admin Suggestions to drivers 

                              For time to time, the carrier you work with may suggest some changes to driver logs. Drivers are responsible for assuming or rejecting those suggestions.

                              Carrier-proposed edits will show on your Apollo ELD software application main home screen at various times. They will show during login and logout process and they will also be shown as a new Apollo ELD message on the main screen:

                              Carrier-proposed log edits are shown during the login, logout and in the message inbox (see image above).

                              Please make sure:

                              • You are not driving while attending to carrier-proposed log edits.
                              • You re-certify your driver ELD record logs if a carrier-proposed log edit is assumed.

                              Once you tap on the ‘ELD message’ button, a list of carrier-proposed log changes will be shown:

                              Apollo ELD Export during roadside inspection

                              The Apollo ELD software is able to share a Printout (or Display) view only of the Logbook for the current cycle plus the previous 14 days and/or export the ELD output file via web services (as a preferred method).

                              Go to the menu and select ‘Roadside Inspection’ mode with the inspection officer icon. This is a single step process. Enter the file comment provided by the roadside inspector accessing the tablet and tap on ‘PRINT-DISPLAY LOGS' just for viewing purposes.

                              Exporting the ELD output file

                              The following export methods are supported when exporting logs is requested:

                              USA 

                              Option1 - Telematics using Wireless Web services.

                              Apollo ELD Driver App General Messages and Notifications

                              Notifications are shown while operating the Apollo ELD driver application software. Some of them are errors, warnings, or just specific information regarding an operational change. These are the most common notifications:

                              During ELD driver authentication:

                              • If a driver is already logged into the Apollo ELD driver application on a different device: A driver can only use Apollo ELD driver credentials to login to one device at a time. The same driver account cannot be used on multiple ELDs. This is a safeguard for compliance. If you lost your mobile device while working, contact your company or Apollo ELD 24/7 support and ask them to Unlock your account. This option should strictly be used only in an emergency situation. Drivers would then be able to login after the driver credential is unlocked.
                              • Wrong driver authentication: Make sure your driver Username and Password are correct.
                              • Unidentified Driving: Once the vehicle begins moving a Driving event is created. The ELD will show a visual and audible notification indicating to the driver they need to stop and re-authenticate on the Apollo driver ELD application correctly. The driver could continue to the destination, authenticate later, and review/accept unidentified events, however, this is not preferred and can create compliance issues along the way.

                              Logs Certification: At the beginning of every 24-hour period, the ELD shows a notification to the driver asking to certify the logs for the previous day or past days. You can select not to certify your logs (yet), certify the previous 24-hour period or all pending logs. It is strongly suggested that drivers certify their logs every day due to FMCSA compliance and to help avoid any potential citations.

                              Automatic Driving status with multiple drivers authenticated: If the vehicle moves, there is more than one driver authenticated on the ELD and no driver is on Driving duty status; the ELD shows an audible and visual notification prompting drivers to select the driver currently operating the vehicle.

                              Carrier-proposed log edits: If the carrier’s back-office personnel or admins propose a change to the driver’s logs, a notification is shown on the ELD. The driver can assume or reject the carrier-proposed edits during login, logout or by taping on the new message icon.

                              ELD Diagnostics and Malfunctions with Resolutions

                              DIAGNOSTICS: 

                              1. Power Data/Compliance Diagnostic (ECM parameters must be available within 1 minute of powering the vehicle’s engine on) 
                                • Resolution: Make sure you are connected to the appropriate GPS (ECM) device. On the menu, go to ‘Scan Devices’ and select your ECM device. Make sure all engine parameters pass the diagnostics (all green).
                              2. Engine Synchronization Data Diagnostic (not all ECM parameters are available when the ELD records an event e.g., duty status change)
                                • Resolution: Make sure you are connected to the ECM device. On the menu, go to ‘Scan Devices’ and select your ECM device. Make sure the diagnostic passes all engine parameters (all green).
                              3. Missing Required Data Elements Data Diagnostic (other required data e.g., location, coordinates) not available when recording an event
                                • Resolution: Make sure the GPS module is enabled on your ELD.
                              4. Unidentified Driving Records Data Diagnostic (more than 30 minutes of driving without a driver logged on the ELD)
                                • Resolution: You are not logged in on the Apollo ELD correctly and the vehicle moves for an extended period of time. Please login and select your Driving time.
                              5. Timing Compliance Diagnostic
                                • Resolution: Go to Settings on your mobile device and make sure Date/Time is set to automatic and synchronized with the network. 
                              6. Positioning Compliance Diagnostic
                                • Resolution: Make sure your mobile device has location services enabled and you are connected to the correct GPS (ECM) device.

                               

                              MALFUNCTIONS (most malfunctions relate to a Diagnostic, but a malfunction generated when the same diagnostic occurs for at least 30 minutes in the last 24 hours): 

                              P- Power Compliance (related to diagnostic 1) 

                              E- Engine Synchronization Compliance (related to diagnostic 2, for instance multiple periods of no ECM data that, when added together are more than 30 minutes in the last 24 hours) 

                              T- Timing Compliance (the time on the ELD, compared to an external time source are different) 

                              • Resolution: Make sure the date and time on your mobile device is properly set. DO NOT (manually) change the date or the time on your ELD.

                              L- Positioning Compliance (no location available, (related to diagnostic 1) 

                              R- Data Recording Compliance (monitor internal storage capability to store records) 

                              • Resolution: ELD driver logging applications take up a lot of space on logging devices. Make sure you have sufficient internal storage on your ELD choice of hardware. Delete files if necessary. 

                              S- Data Transfer Compliance (ELD records not able to be uploaded) 

                              • Resolution: You do not have internet nor cellular data access. Restart the ELD (if needed) and confirm you reconnect to the cellular network.
                               
                               

                              Driver Inspection Reports (DVIR)

                              Select the ‘DVIR/INSPECTION REPORTS’ button on the main HOS home screen. Tap on the ‘+’ button to then select the applicable region (USA, Canada Schedule 1, or Canada Quebec). Additional options are available for Quebec compliance: heavy vehicle, bus, and motor coach. 

                              A compliant checklist is below. Check mark to select any defect you found during your vehicle and/or trailer inspections. If no defects are found, no need to select anything. On the last step enter a remark and indicate if the defects were corrected or not.

                              We have separated items under the C-TPAT 17 agreement to help you reduce border delays (if applicable) and minimize risks. 

                              Inspect all, minor and major, defects accordingly. Select in this feature if there are defects. Take pictures of defects and upload to the ELD portal which can be shared later. These pictures remain in the Apollo ELD admin portal and do not sync with the Linxup admin portal.

                              On the last step, enter the remark and sign the inspection report:

                              If defects were found and corrected, you can ask the mechanic for a signature. There is a third, optional signature which some carriers require before a vehicle leaves the yard. 

                              You can take up to 9 different pictures. Once you are done select ‘Upload.’

                               
                               

                              How to use Shipments button (if needed) for internal company use, brokers, shippers, receivers or carriers.

                              The ‘Shipment Sync’ feature, allows drivers, admins, carriers, brokers, shippers and receivers to be connected and share shipment information in real-time. Shippers and receivers can confirm arrival times, bay number assigned to the driver (if applicable), safe parking instructions and any additional notes. This information is shared in real time with drivers, allowing them to better plan their routes, rest times and minimize dock waiting time. Here is a general overview of ‘Shipment Sync:’

                              First, drivers and admins can create the shipments. Once the shipment is uploaded to the Apollo ELD admin portal, the carrier admin can share the shipment with brokers, shipper, and receiver if desired. 

                              On the ‘Shipments’ tab (Apollo ELD admin portal), company personnel can see all shipments created by themselves and drivers. A pop-up window is displayed once the ‘Details’ link is clicked. A carrier can share ETAs if they wish with the broker and pickup/delivery warehouses. To do so, the carrier admin needs to input the email address of every entity they want to share the shipment information with and then save the shipment.

                              Once the shipment is saved on the Apollo ELD admin portal an email (from domain: shipment-sync.com) is sent to each destination. Shippers and receivers (independently) can input the specific warehouse arrival, bay number, safe parking information and additional notes. Information about the carrier, driver’s first and last name, shipping document, last known location is shown on the left pane. The last know location is updated every time the page is refreshed, loaded and synced to the network.

                              Once the shipment information is saved, a notification is automated to notify the Apollo ELD driver via the Apollo ELD driver software application which includes the details added by the pickup/delivery personnel, keeping the driver updated whenever the application refreshes or syncs to the network.

                              Drivers Logging In

                              • The Apollo ELD driver application software, periodically prompts new, updated, current software versions to be installed onto the driver's logging device. Due to evolving DOT/FMCSA regulation enforcement, drivers should keep the Apollo ELD app updated on a regular basis to the latest, most recent software version to stay compliant. Outdated app versions can potentially result in citations or being placed out of service.
                              • Enter the already created driver username and password credentials, then, select the Login button.

                               

                              NOTE: The driver’s credentials are created by the Administrator on the Apollo ELD Admin Portal.

                              • If needed: Drivers can change their password by selecting 'Change Password.' At this step, the driver will need their already created driver username from their admin and Drivers License or CDL number associated with their own specific driver profile.

                              Vehicle, asset Profile(s)

                              • Configuring the ELD with the right vehicle asset or trailer:
                                • Ideally, admins would have already added vehicles, assets or trailers into the Apollo ELD admin portal for the drivers to already select. The ELD has to be linked to a Tractor (vehicle). Please tap on the truck and/or trailer image to select your equipment from the downloaded carrier assets list. You can also add a new tractor or trailer (only if allowed by your carrier) by selecting the ‘+’ button located on the top right of the screen. Once a new asset is created on the ELD, the asset information is broadcasted to the ELD portal and other ELDs operating under the same carrier. Once you select a tractor or trailer from the downloaded list, the ELD will always use the VIN number, license plate and registration state displayed on the list.
                                • After the first initial login, the system will automatically configure previous vehicle profile information. Please be sure to have the engine on, scan for devices, connect and confirm you are still connected to the listed vehicle and/or trailer.
                                • Each driver using the system will have a unique login username ID credentials made by the admin. The driver is restricted to be logged on to only one ELD at any time. Drivers cannot be logged into several devices simultaneously for compliance. In order for the driver to login on a different device, the driver must change to off duty status and logout from the current device. Language for the Apollo ELD App can also be updated from this screen via the preferred flag on the main screen (English, Spanish or French).

                              ECM - Linked GPS Devices (Pairing your JBUS and Mobile Device, cell phone or tablet.)

                              • Establishing ECM Connection: Before a driver can operate an ELD, the ELD must be synchronized to the vehicle’s engine using what is known as an Engine Control Module (ECM) which is very common on GPS trackers. 
                              • Before scanning and connecting to an ECM device, make sure your ELD has Bluetooth functionality enabled and that the vehicle engine you wish to connect to is on and running:

                              • For the JBUS (ECM) device to work properly and the ELD to be able to connect to the device and read engine data, the engine must be turned on. Keep this in mind when operating the ELD. Duty status changes, as an example, require engine parameters when generated. Make sure the engine is still running when making duty status changes. Some ELD configurations locks an ELD to a specific ECM device, in which case the Scan Devices screen is not shown and the ELD will automatically run the diagnostic.
                              • To connect to the ECM device, tap on ‘Scan Devices’ and select the serial number of the GPS device in your vehicle for the correct device to connect. This will automatically route you to the next screen.

                              • You will then be taken to a Diagnostics screen to confirm the tablet is receiving all information required from the JBUS device. Select ‘Run ELD Diagnostic’ if you would like to confirm all information is being received from JBUS (Ideally, all fields should be green if connecting to the appropriate vehicle and that vehicle engine is on and running).
                              • Then select ‘Continue’ to proceed to the next screen.

                              • Bluetooth and ECM connection status: The Electronic Logging Device (ELD) must consistently access engine data. Ensure that both the Bluetooth and ECM connection indicators remain in the green status. If the indicator shifts to red, access the menu options, have the desired vehicle engine on and running, select Scan Devices and re-establish a connection with the preferred ECM-linked device.

                              • Changing Duty Status: To change the duty status tap on the desired duty status button. The chosen duty status will consistently appear in navy blue. Drivers should always select On-Duty at the start of their shift and Off-Duty at the end of their shift. 
                                • If a driver lacks access, the Personal and Yard statuses will appear in grey. Conversely, if the administrator has granted the driver permission to use these statuses, they will be displayed in green. 
                                • As a driver, current regulations allow up to 46 miles (75 Km) of driving for personal use. This provision allows you to, for instance, drive to the nearest rest area, drive home among other reasons. The ELD will prompt you to add a predefined remark or type a different reason. The ELD must be connected to the ECM device in order for the Personal Use provision (button) to be available. Once you have reached the 46 miles (75 Km) limit you will receive a notification and you will be automatically switched into Driving duty status. 
                                • The ELD also allows you to drive the vehicle inside a yard. Please, switch to Yard Move (YM button) before putting the vehicle in motion. If the vehicle’s speed exceeds 19 mph (32 Km/h) you will be switched (automatically) to Driving duty status.
                              • Annotations & Remarks: When changing to (and out of) ON-DUTY, YARD and PERSONAL duty status, the ELD will show you the pre-defined remarks to simplify the use of the ELD. You can also type your own remark. The remarks are then added to the daily log.

                              • Co-Driver Operation: A co-driver can authenticate by tapping on the currently active driver button (which brings the login screen) or the co-driver can access the menu options and select the Co-Driver Login option.

                              • Time Remaining: The three donuts constantly show the actual time spent on each status (Driven, ON-Shift and ON-Cycle). The corresponding donut will turn yellow or red to indicate proximity to the time limit.
                              • Recap: Tap on the ‘ON-Cycle (see recap)’ donut to see how much ON-Duty time will be removed once the 7th or 14th day is reached. The recap summary message also tells you the day and time that the next available recap will take place. This information has great value for the driver, so you can plan your weekly cycle and be aware of how much time you will get back each day, after the 7th or 14th day (according to the currently selected ruleset).

                              • Possible Violations: This area shows the closest possible violation. It also triggers a notification pop-up one hour before the violation and another one thirty minutes before the next possible violation. See screenshot to the right. You can review all violations collectively by accessing the menu options.
                              • Normal Conditions: Also known as ‘Adverse Conditions’ will only activate each day when nearing shift Driving/On-Duty time. This option should only be utilized if FMCSA guidelines are met.
                              • Roadside Inspection Mode: If you are stopped on the road, we recommend you to enter the Roadside Inspection Mode by tapping on the green officer button. This mode only allows the DOT officer to view or export the current cycle drivers logs. Once the DOT inspection is completed, the driver will need to enter their own password to return to the Apollo Home Screen.

                              • DVIR inspection Reports: Select the Inspection Reports button from the bottom of the Hours of Service screen to complete your vehicle inspection report (also known as DVIR or Pre/Post Trip Inspection).

                               

                              NOTE: Drivers must manually click the inspection reports button to complete their pre/ post trip DVIR inspections each day. Adding remarks like Pre-TI and Post-TI are just annotations/ notes to the daily log.

                              • Tap on the green circle with the + button to begin a new inspection. A pop up box will appear where the driver can confirm who is inspecting the vehicle, the type of inspection performed based on if the driver is at the beginning or end of their shift and the applicable region. 
                              • A compliant checklist is then shown. Only select any defect you might have found during your vehicle and trailer inspections. If there are no defects, there is no reason to select anything. On the last step enter a remark if needed and indicate if the defects were corrected or not.
                              • Driver must then e-sign the inspection. After the driver uploads their first inspection, the system will adopt the signature so that the driver does not have to sign the report each time. If defects were found and corrected, you can ask the mechanic for a signature. There is a third, optional signature which some carriers require before a vehicle leaves the yard. 
                              • Optionally, you can take up to 9 different pictures and upload them to the report. Once you are done select 'Upload.' 
                              • The completed inspection report will appear as a PDF form. Driver can review by clicking next or return to the main menu by clicking the back button on the device. *Note, these do not sync to the Linxup GPS admin portal, only the Apollo ELD admin portal.

                              • Logbook: Through the Logbook menu option, (if the driver has certified their own logs from their device) the driver then has the capability to edit their logbook all on their own. They can make edits to their own logs and export their own current cycle logging ELD data files directly to the FMCSA. They can also view the Logbook tab, which displays the graph for the chosen day, while the Logs tab shows the individual events recorded in the daily logs. The date is able to be changed by selecting the left and right arrows near the date at the top right.

                              • Driver Profile: In this section, drivers can review their driver settings and make updates to their rule set if necessary. If the driver operates under any exemptions, this section enables them to modify the type of exemption and toggle it on or off as required. The ability to manage exemptions from the tablet is contingent on the Administrator enabling this setting through the Apollo Admin portal.
                              • Certify Records: Every duty status change must be certified before exporting the driver’s logs. Select the ‘Certify Logs’ option from the menu to list all unverified logs. Select each day and tap on the 'Certify' button. At the end of each 24-hour period, the ELD will automatically prompt the driver to certify logs for the last 24 hours period, but it does not force them to certify. During the driver login and logout, the driver will be prompted to certify the logs. Drivers should be encouraged to bring their logs up to date every day in order to avoid potential citations.

                              • Shipments: The Shipment Sync feature, allows drivers, motor carriers, brokers, shippers, and receivers to be connected and share shipment information in real-time. Shippers and receivers can confirm the exact arrival time, the bay number assigned to the driver, safe parking instructions, and additional notes. This information is shared (instantly) with drivers, allowing them to better plan their routes, rest times and minimize dock waiting time. This section also allows drivers to input shipping or bill of lading numbers into their daily log by simply entering the number and saving the information.

                              • Documents: Uploading documents through the ELD enhances efficiency, accuracy, and compliance by providing a centralized location for essential records. This section provides the capability to upload documents (such as accident photos, bills of lading, citations, etc.) that drivers can later view on the tablet or the Admin portal. Click the green circle with the + symbol to start adding documents. *Note, these do not sync to the Linxup GPS admin portal, only the Apollo ELD admin portal.

                              • Fuel Receipts: Allows the driver to capture and manage digital images of fuel receipts, link them to specific trips, and provide a comprehensive record for reporting and compliance purposes. To Create a new Fuel Receipt click on the plus icon and enter in the required information. You must upload a picture of the receipt from the tablet. *Note, these do not sync to the Linxup GPS admin portal, only the Apollo ELD admin portal.

                              • Logout: The system will not allow you to log out if your status has not been set to 'Off Duty.'
                              • If the driver logs out from the Hours of Service app and the vehicle is detected going over 5mph, Unidentified Driving Events are automatically created under the Unidentified Driver account. When an Authenticated Driver logs into the Hours of Service app, these events can then be accepted by the driver or be left in the Unidentified Driver account. However, the app prevents Unidentified Driving for vehicles in AOBRD mode. Unidentified Driving events assigned by Personnel via portal can be rejected by the driver. 
                              • Finally, upon tapping the 'Logout' button, the authenticated driver who accessed the Hours of Service app will be signed out, and the app will be fully closed, ensuring that neither ELD service nor JBUS service runs in the background. The driver must ensure they are in the correct status before logging out.

                              1. Apollo ELD needs overlay permissions: select ‘Agree’ and then toggle on apollo (e-Dash) ELD.

                              To log in, enter the login credentials you received from your Company ELD Admin.

                              Upon signing in, you will need to complete a few simple steps:

                              1. Go to the ‘Vehicle Profile’ screen to select the tractor and trailer, enter the tractor odometer, then select ‘Save.’

                              1. Select ‘Scan’ to search for the vehicle’s JBUS device. Select the correct device serial number and then choose ‘Continue.’

                              1. Select ‘Run ELD Diagnostic’ to confirm Apollo is connected to the JBUS device and receiving the correct ECM information:

                              1. Select ‘Continue’ to go to the Apollo Home Screen:
